Event Project Manager, Life Sciences

Job Description: • Lead and execute end-to-end congress and life sciences event projects both onsite and remote • Independently build, configure and launch web and mobile event apps using Backstage (Life Science and Congress events) • Professionally manage customers and senior stakeholders across the project lifecycle • Coordinate closely with congress organisers, vendors, internal departments and customers for seamless event execution • Perform onsite responsibilities: iPad sign-in, lead scanning, appointments module setup/management, and training staff • Ensure speakers are briefed and prepared for webinars, virtual sessions, or onsite presentations • Oversee all event operations to ensure flawless delivery for virtual and face-to-face projects • Deliver post-event communications, analyze event data, and provide reports, dashboards and recommendations to customers • Work closely with Congress Lead; report to VP Professional Services and contribute to product and service development Requirements: • 2+ years prior experience in congress engagement and life sciences event planning and execution • Experience with KOLs mapping, engagement and appointment management • Thorough understanding of event approval workflows (Commercial, Medical, Legal Review) and regulatory requirements • Experience in onsite business suite management and ancillary meetings planning in life sciences • Ability to independently build, configure and launch web and mobile native event apps using Backstage • Experience professionally managing customers and senior stakeholders with clear, timely communications • Experience coordinating with congress organisers, vendors, internal departments, and customers • Onsite operational skills: iPad sign-in, lead scanning, setup and management of appointments module • Experience training field sales teams, booth staff, agencies and customers on onsite modules • Experience ensuring speakers are briefed and managing event operations for virtual and face-to-face projects • Post-event: handle communications, analyze event data, and deliver reports, dashboards and recommendations • Technical proficiency with Excel, Veeva CRM, Veeva Link, Cvent, and SpotMe/Onomi • Ability to escalate appropriately and navigate pharma decision-making and compliance vs. business needs • Willingness to travel ~40%, out-of-hours availability and weekend work Benefits: • SpotMe Academy training and certification for Backstage • Professional development and product training • Frequent travel opportunities (approx. 40% travel for onsite events) • Opportunity to influence product development and service offerings • Cross-functional collaboration with services, implementation, product and sales teams
