Role Overview
We're looking for a highly motivated and customer-focused individual to provide exceptional service and support to our clients. As a Customer Service Representative/Order Entry Specialist, you'll be the first point of contact for our clients, handling a wide range of inquiries, resolving issues, and ensuring customer satisfaction and loyalty. Key Responsibilities
- Order entry and management, ensuring accurate and timely processing
- Order shipment and coordination, including communication with customers and sales teams
- Invoicing and payment processing, maintaining accurate records and resolving any discrepancies
- First-touch customer interactions, including phone and email communication with customers and sales representatives
- Product support and basic troubleshooting, resolving customer issues efficiently and effectively
- Freight quotes and logistics coordination, ensuring timely and cost-effective shipping
- Outbound PO communications and inbound/outbound logistics, managing carrier relationships and resolving issues
- Field customer inquiries and sample fulfillment, ensuring prompt and accurate responses
- Stock level checks and communication of shipment status changes/issues to sales teams for resolution
- Other duties as assigned by the Director of Operations, including special projects and initiatives
Requirements
To succeed in this role, you'll need:
- Experience with Microsoft Office software, including proficiency in data entry and attention to detail
- Excellent verbal and written communication skills in English, with the ability to type efficiently while engaging with customers
- Strong problem-solving skills and the ability to think on your feet, resolving customer issues efficiently and effectively
- Great time management skills, completing tasks in a timely manner and meeting deadlines
- A positive attitude and a willingness to learn new skills, with a passion for delivering exceptional customer service
Nice-to-Haves
We're looking for candidates with:
- Previous experience in a customer-facing role, preferably in a similar industry
- Knowledge of order management systems and logistics software
- Experience with CRM software and customer relationship management
- Fluency in additional languages, including Spanish, French, or Mandarin
