Healthcare Assistant

About One Nutrition Group One Nutrition Group is a boutique nutrition private practice based in New York City. Our team of Registered Dietitians provides personalized 1:1 nutrition counseling addressing both the physical and emotional aspects of health. We offer both in-person and telehealth services. We are seeking a highly organized, detail-oriented Healthcare Administrative Assistant to support daily operations, patient and provider communications and insurance coordination. This is a full-time, remote W-2 position, that requires availability Monday through Friday, 9:00 AM to 5:00 PM EST. This role requires daily phone-based communication with patients and insurance companies. Candidates must have a confident, professional, and compassionate phone presence. A dedicated, quiet, private home workspace is required for HIPAA-compliant patient communication. Responsibilities • Respond to patient inquiries via email, phone, and patient portal within defined response time expectations • Manage and return voicemails in a timely and professional manner • Communicate clearly with patients regarding appointments, paperwork, insurance, and payments • Verify patient insurance eligibility and benefits prior to initial appointments • Submit insurance claims and follow up on denials and outstanding balances • Manage appointment scheduling, confirmations, and cancellations via Zocdoc and SimplePractice • Maintain accurate patient records and ensure intake documentation is complete prior to appointments • Generate reports and update practice dashboards using Google Sheets and Excel • Develop and maintain standard operating procedures for administrative workflows • Serve as the primary point of contact for all back-end administrative operations, enabling the clinical team to focus on patient care • Provide regular updates on outstanding tasks and workflow status to the practice owner and team • Prepare weekly team meeting agendas and operational summaries Qualifications • Minimum 1-2 years of experience in a healthcare administrative or patient coordination role • Demonstrated experience with insurance verification, claims submission, and denial follow-up • Excellent verbal communication skills with a professional, warm, and confident phone presence • Proficiency in Microsoft Excel and Google Sheets • Experience with an EMR or EHR system; SimplePractice experience strongly preferred • Proven ability to work independently, manage multiple priorities, and proactively improve administrative workflows • Dedicated, quiet, private home workspace with reliable high-speed internet for daily patient and insurance calls • Knowledge of HIPAA privacy requirements and commitment to patient confidentiality • Experience in a nutrition, dietetics, mental health, or private practice setting preferred Compensation and Benefits • $45,000 to $52,000 per year • 10 days paid vacation, 7 days paid sick leave, 6 paid holidays Submit a resume and a brief introductory note describing your experience with healthcare administration or patient care coordination to [email protected].
