Part-Time Business & Personal Assistant (Remote)
I’m seeking a highly organized, proactive, and discreet Part-Time Business & Personal Assistant to support a busy professional with a mix of personal logistics, seasonal business operations for an MBA admissions coaching practice, and occasional research-based special projects.
This is a high-trust, flexible role for someone who is dependable, resourceful, and able to work independently. The right person will help manage scheduling, intake, templates, deadline tracking, invoicing, travel, and personal logistics, while also helping create structure and reduce administrative friction across both business and personal life.
The principal works full-time and runs a boutique MBA admissions coaching practice on the side. The workload for the coaching business varies throughout the year: summer and fall are typically busier due to applicant support and admissions deadlines, while winter and spring are more focused on templates, systems, organization, and ongoing administrative support.
This role is ideal for someone who enjoys variety, can shift between recurring support and project-based work, and takes pride in being calm, thoughtful, and highly reliable.
Responsibilities
Business support
Manage scheduling for client calls, consultations, and follow-ups
Support intake and onboarding for new MBA coaching applicants
Build and maintain intake forms, call templates, feedback forms, trackers, and other repeatable systems
Track applicant deadlines and help ensure follow-through across the admissions process
Create and maintain school profiles and starter materials for applicants
Help source prospective applicant pools through research and pipeline organization
Process invoices, track payments, and support administrative follow-up
Keep business tasks, timelines, and next steps organized
Personal support
Manage personal calendar logistics
Coordinate personal travel, including flights, hotels, and itinerary changes
Schedule personal appointments and help manage day-to-day logistics
Track reminders, follow-ups, and recurring personal tasks
Help reduce day-to-day friction by staying ahead of open loops and logistics
Special projects
Conduct research related to personal investing goals
Support research into small business acquisition opportunities
Organize findings and present information clearly and succinctly
Assist with other administrative or research-driven projects as priorities evolve

Preferred Experience

Experience building templates, trackers, forms, or internal systems
Strong administrative and organizational skills
Comfort with research and synthesizing information clearly
Familiarity with higher education, admissions, coaching, or professional services is a plus

Candidates in the U.S. or internationally will be considered
Some overlap with U.S. East Coast hours is preferred

Compensation is competitive and commensurate with experience, location, responsiveness, and level of ownership.
