We are seeking an experienced Senior Executive Assistant to serve as a trusted business partner to the President and Executive Leadership Team.
The Opportunity
This is not a traditional administrative support role.
We are seeking a highly capable professional who can anticipate needs, manage competing priorities, streamline executive operations, and serve as a force multiplier for senior leadership. The successful candidate will be a proactive problem solver, exceptional communicator, and trusted confidant who thrives in a fast-paced, high-accountability environment.
This position offers significant visibility across the organization and the opportunity to work closely with executive leadership on strategic initiatives and organizational priorities.
Key Responsibilities
Executive Office Management
Manage complex and constantly evolving calendars for the President and executive leadership team
Prioritize competing demands and ensure executive time is aligned with business objectives
Anticipate scheduling conflicts, identify solutions, and proactively adjust priorities as needed
Coordinate executive workflows and ensure critical deadlines are met
Executive Communications
Serve as a primary liaison between executive leadership and internal and external stakeholders
Draft, edit, and manage executive communications, presentations, reports, and correspondence
Maintain professionalism and discretion when handling sensitive business matters
Ensure timely communication and follow-through on executive initiatives
Meeting & Leadership Support
Coordinate leadership meetings, board meetings, strategic planning sessions, and company-wide initiatives
Prepare agendas, meeting materials, presentations, and briefing documents
Attend meetings as needed, capture decisions and action items, and drive accountability for follow-up
Monitor progress on executive priorities and strategic initiatives
Strategic Project Coordination
Assist with special projects and cross-functional initiatives on behalf of executive leadership
Coordinate activities across departments to ensure alignment and execution
Identify opportunities to improve efficiency, communication, and organizational effectiveness
Support implementation of new processes and operational improvements
Administrative & Operational Support
Coordinate travel arrangements, itineraries, and expense reporting
Support executive events, leadership retreats, and company meetings
Maintain organized documentation, records, and executive files
Manage sensitive and confidential information with the highest level of discretion
Required Qualifications
7+ years of executive assistant experience supporting senior executives, preferably at the C-suite or President level
Demonstrated experience managing multiple executive calendars and competing priorities
Exceptional organizational and project management skills
Outstanding written and verbal communication abilities
Advanced proficiency with Microsoft Outlook, Microsoft Office Suite, Microsoft Teams, and virtual collaboration tools
Proven ability to operate independently with minimal supervision
Strong judgment, professionalism, and discretion
Experience working in a fast-paced, deadline-driven environment
Ability to prioritize effectively and maintain attention to detail under pressure
Preferred Qualifications
Experience supporting a President, CEO, Founder, or executive leadership team
Experience within professional services, financial services, consulting, accounting, legal, or retirement plan administration firms
Familiarity with project management software and workflow tools
Experience coordinating board meetings and executive-level events
Prior experience in a fully remote work environment
